You can create additional registration questions for declined guests. This is useful when you want to determine why someone declined your event, or any other follow up information you need to glean from invitees.
Please keep in mind, additional registration questions for declined guests will only function if you invite guests. The only way someone can decline an event is if they've been invited (rather than accessing the event web page through the events website, for example)
Assigning an additional registration question to a declined guest follows the same step-by-step protocol as Creating Additional Registration Questions for confirmed guests. Please refer to the instructions detailed in the hyperlink for more context.
In the article below I'll outline an example of questions I've created for declined guests in an event I'm managing...
My company is very large, so the practicalities of gathering the entire company once a year is difficult. However, we still want to bring people together across departments and locations at least once a year. Therefore, we host a team-building retreat every three months (February, May, August and November). Our employees decide which retreat would be most convenient for them to attend. It is mandatory that they attend at least once a year. We also like to keep the headcount for each retreat as equal as possible.
In order to keep this retreat attendance system running smoothly, I invite everyone across the company to each retreat. Then, I create an additional registration question for declined guests. I'm going to make this a multiple selector option, because it makes it easy to organize by answer. After writing my question and selecting my format, I'll press SAVE.
From here, I'll add my options by clicking ADD QUESTION FOR MULTIPLE SELECTORS.
I've added all my answers. Now, I can get a more accurate headcount for the remaining retreats this year. Then, I will assign the question to assigned guests by checking the checkbox that corresponds with the question.
The SET PREFERENCE VISIBILITY pop up window will appear. Check the box next to DECLINED GUESTS, then press SAVE.
Now, you can group people based on which retreat they said they'll attend. To do this, navigate to your GUEST LIST.
Here, you can see who has confirmed attendance or declined your event. Guests who have declined your event are in red. To display people based on their answer to your registration question, click the registration response icon in the top right hand corner.
The SEARCH BY REGISTRATION RESPONSES pop up window will appear. To filter by specific answers from declined guests, check the bubble next to FILTER FOR RESPONSES, then DECLINED GUESTS, then whichever response you want to display. Then press SUBMIT.
The guest list will now display all guests who match the criteria you specified. From here, there are many ways to organize this information, such as creating a list (this is useful if you want to send an email to these specific people later) or export an XL for your records.
