PLEASE NOTE: The method detailed below will be deprecated in Q2 2025 and replaced with upgraded waitlist features for both paid and free events.
If you have a ticketed event, but want people to be able to join a waitlist if it sells out, you can create a registration button that acts as a waitlist button.
To start, navigate to your SETUP page.
Then, click the REGISTER button.
We will need to turn this registration button into a waitlist button. Because this is a ticketed event, you would have turned this registration button 'off' by unchecking DISPLAY ON EVENT WEBPAGE and typing '0' into the MAX REGISTRATIONS WITH THIS BUTTON textbox. For more information on this process, please refer to Creating a Ticketed Event.
To turn this registration button into a waitlist button, we will need to amend a few things.
1) BUTTON NAME - This needs to be called 'Waitlist' - just the word Waitlist, with a capital W (see photo below). If this is not typed out exactly, it will not become a waitlist button.
2) DESCRIPTION - Write a description for your guests to read (see example below).
3) GUESTS PER REGISTRATION - This can be any number. We'd recommend keeping it as 1, because it's free to join the waitlist. Therefore, people can just register their partner by refreshing the page.
4) MAX REGISTRATIONS WITH THIS BUTTON - There is no limit to how many people can join a waitlist. As long as you type in a sum larger than 1, this waitlist button will function.
5) DISPLAY ON EVENT WEB PAGE - Make sure this checkbox is checked ON.
Click SAVE INFO when all the steps above have been completed.
After pressing SAVE INFO, you'll land back on the SETUP page. Scroll down to the ADVANCED table.
You will want to check the EDIT WAITLIST CONFIRMATION MESSAGE and EDIT WAITLIST CONFIRMATION EMAIL, and edit as is appropriate for your event.
Now, if you navigate to your event's webpage, you'll notice
1) The ticket button says SOLD OUT, to let potential attendees know that it's fully booked.
2) Below that, the WAITLIST button is visible.
If a potential attendee clicks the waitlist button, they'd fill out their information as if they were buying a ticket, then click WAITLIST to officially join the list.
If you want to check how many people have added themselves to your waitlist, navigate to GUEST LIST inside your event.
Attendees who purchased tickets will appear as confirmed guests, in black text with a green dot.

Here's what my guest list looked like after I created a waitlist button. Waitlisted people will appear in blue text with a blue dot next to their name.
If space becomes available at your event, you can either contact the waitlisted group as a whole, or choose specific people to notify first. Both of these options can be executed by sending an announcement email. Please refer to Sending Announcement / Reminder Emails for more information on that process.
Because this is a ticketed event, we'd recommend emailing people on the waitlist when tickets become available and directing them to purchase through your event web page.
