One of the most useful functions of additional registration questions is the ability to filter, organize and group people based on their responses.
To do this, first navigate to GUEST LIST.
Click the registration data icon.
The SEARCH BY REGISTRATION RESPONSES window will appear. You can choose any combination of options to filter by. They all serve different functions.
For example, if I wanted to see everyone that submitted an answer to my allergies / dietary restrictions question, I would check the box next to both of those questions, and select FILTER FOR RESPONSES and CONFIRMED GUESTS, then press SUBMIT.
The guest list will now show a filtered list of every confirmed guest who submitted an answer for the allergies / dietary restrictions question. If I wanted to send an export of this list to someone, I would click the export icon.
The GENERATE GUEST REPORT window will appear. Check the boxes next to the fields you want to be included in the report. I will check the box next to REGISTRATION QUESTIONS & RESPONSES, because I want my guest's answers to be visible to the person I'm sending this to. When you've selected all the data fields you want to export, click GENERATE REPORT.
This will generate a spreadsheet. For example, with my event, I need to send all allergies / dietary restrictions to our caterer. By utilizing this feature, I have a document that I was able to create efficiently with registration questions.
You can also use the filter function to determine which guests have not yet answered their registration questions. To do this, select FILTER FOR NO RESPONSE and CONFIRMED GUESTS. Then click the button SELECT ALL RESPONSES and press SUBMIT.
The guest list will now display a filtered list of your guests who have not answered one or more of the registration questions. Note how the comment icon that corresponds with their name is purple. When a guest has answered their registration questions, this icon is yellow.
If you want to send an announcement email directly to the guests who have not answered their registration questions, please refer to our article Follow-Up on Additional Registration Questions.
Another great use of the filtering feature is to display people who have chosen a specific answer for a registration question. For example, I need to see everyone who chose kayaking as their preferred activity for the summer retreat.
In the SEARCH BY REGISTRATION RESPONSES window, I would choose FILTER FOR RESPONSES and CONFIRMED GUESTS. Then, I would check the box that corresponds with kayaking and click SUBMIT.
My guest list will display a filtered list of everyone who chose kayaking as their preferred activity. You can see in the comment column to the left, that one guest changed their answers. This is noted by their comment icon being replaced with a red circle. For more information on this process, please refer to Editing Guest's Responses to Additional Registration Questions.
