If you go to your dashboard, you will probably notice that some events at the top are yellow, and events below are white.
For standalone events, once the date and end time of the event has passed, the event will appear in yellow.
For recurrent or series events, once the date and end time of the first event in the set has passed, the event will be appear in yellow.
As you start creating more events, and time passes by, you might want to adjust the visibility of your dashboard so that you're only seeing events that have not yet occurred.
The best way to do this is to ARCHIVE past events. You can archive events by clicking the archive icon (on the far right) that corresponds with the past event.
You'll notice that there is no archive icon available for the Biochemistry Lab. This is because it is a recurrent event, and not all of the events in the recurrence have passed.
For recurrent and series events, once the first event in the set has passed, the event goes yellow to indicate that fact. However, you are unable to alter its visibility in the dashboard via the archive feature until all of the events within the set have passed.
If we click the green number to expand all of the events in the recurrence, we can see that only the first event has passed.
I went ahead and archived the events in my dashboard that have already occurred. Now, my dashboard looks clearer. If I want to see the events I've archived again, I need to toggle the archived events button ON.
Once that is toggled ON, you can see your archived events listed in backwards chronological order (most recent first). If you ever want to un-archive an event, simply click the archive icon to the far right that corresponds with the event.
What is the difference between deleting and archiving an event? Deleting an event puts it in the trash folder, which you can access any time by clicking the trash can icon in the top right of your dashboard.
What's useful about archiving an event, is that you can refer back to it, and make copies of it.
For example, if I go into my archived events, I can see my sales strategy meeting. I know that we'll be holding another sales strategy meeting later this year. Therefore, instead of making a new event from scratch, I can click the COPY icon that corresponds with that event.
The COPY pop up window will appear. The only type of copy you can make from an archived event is a standalone, so after pressing that, the CREATE SINGLE COPY WITH DATE option will appear. Choose any future date, name your new event, then press SAVE.
Now, when you go back to your dashboard, you can edit this event, and it will have saved the details from the archived event that you copied.
Once an event's date / end time has passed, many features within the event are functionally frozen. We can see what is and isn't available to be edited if we click into one of our events.
For example, on the SETUP page for my event 'Pilates with Ms. Ireen' we can see that the required details aren't editable. However, the teaser text and event description are able to be amended. These features are available in case you want to customize your event webpage after the event has taken place. For example, you can edit the event description to have a thank you message for all attendees.
If you go to the email tab in an event that has passed, you'll notice that the links to confirmation emails are no longer available. However, you can send an announcement email. This tool is useful if you want to reach out to your guests after an event has passed, for example, to share pictures, updates or a thank you message.
You can also amend different elements of the WEB PAGE, including the header image, content tabs, etc. For example, after the event has passed, you may want to edit the header image to be a photo from the event itself.
