One of the most useful and important tools within SeatRobot is CONTACTS.
You can access your contacts by clicking this icon:
Or this icon if you have an enterprise account:
When you go into your contacts page, there are a number of tools to help you find, add and amend your contacts database.
Whenever someone registers for an event or accepts an invite for an event hosted by your organization, they are automatically added to the contacts database.
You can search for specific contacts by using the search bar. It's a letter search that matches any letter pattern in first name / last name / company / email. It will return any result that contains that exact combination of letters.
By default, contacts are listed alphabetically by last name. However, you can click FIRST / LAST / COMPANY / EMAIL to view contacts through those categories in alphabetically ascending or descending order. SeatRobot can load up to 500 contacts per page.
To delete a contact, check the box next to their name and click DELETE.
Please note: This only removes them from view. If I want to invite them to an event, and I start typing their name, their information will populate.
You can see all of your deleted contacts by clicking the STATUS FILTER button, and then clicking DELETED in the drop down menu.
To permanently delete a contact, check the box next to their name and click PURGE.
To make a deleted contact visible in the contacts database again, check the box next to their name and click RESTORE.
Why the difference between delete and purge? Deletion is a good tool for contacts who are no longer useful for your organization (for example, they don't respond to your emails). However, you'd still like there to be an history of their information / interaction with your organization.
Purging is a good tool for contacts that you need to remove completely for security or efficiency reasons.
PLEASE NOTE: If you purge someone from the contact list, this does not effect any events they are registered for. Once a contact from the contact database is brought down into an event, its association with that event becomes separate from its activity in the contacts area. It's like it exists as a copy of the contact inside the event.
If someone is purged, then they're invited to an event, if they RSVP yes, they will automatically be added back into the contact database.
