When you send an invite within ZenGRM, that invite is personal to the recipient. This means that the ACCEPT and DECLINE buttons in the invite email recognize the recipient they are intended for. This allows the recipient to accept or decline an invite to your event without having to go to an anonymous page and fill in their personal details.
This 'one-click accept' feature is very useful and increases your response rate by up to 35%.
Occasionally an invite recipient may forward their personal invite email to someone else who may not understand that the invite is not personalized for them. This could cause confusion if they accept or decline using this forwarded email and see the original recipient's information in their confirmation. It could also create false information in your guest list.
To minimize this behavior, ZenGRM has added a guardrail feature that allows people to request their own personalized invite.
For example, I've invited people within my patient and professional network to my Innovations in Health & Wellness Conference. Someone I invited forwarded their invite email to someone I have not invited. If the person who received the forwarded email wants to attend my event, they would click the ACCEPT INVITE button.
The person who received the forwarded email will land on a page that says the name of the person that the invite was originally intended for with a REGISTER BUTTON. Below that, there will be a prompt that lets them know that this invite is only valid for the original intended recipient. If they'd like to attend the event, they should click the hyperlink that reads 'Click here to request your own personalized invite to this event.'
Once that hyperlink is clicked, the REQUEST INVITE modal will open. The person can enter their contact details into the provided textboxes then click SEND.
When they submit this form, two emails are sent automatically.
One email goes to the event manager with the subject line You Have An Event Invite Request. This email includes the details of the requester, and also the details of the original invitee the requester used to send the form. This is the individual who forwarded the email invite.
Another email goes to the requester, with the subject line Your Invite Request Has Been Sent.
As the event manager, when you receive an email notifying you that someone has requested an invite, you can choose whether or not to send an invite to the requester. For more information regarding that process, refer to Sending Invites.
Please note, the request invite feature automatically checks whether the requester is already associated with your event's guest list. Based on their association with the event, the following occurs:
- If the requester has no association with the event, the emails above are sent.
- If the requester is already confirmed for the event, ZenGRM re-sends them their confirmation email instead.
- If the requester has already declined the event, ZenGRM re-sends them their original invite email, from which they can un-decline, if that feature has been enabled.
- If the requester has been previously invited and did not RSVP, ZenGRM re-sends them their original invite email.
