Using the QR-Code feature for check-in at your events can speed the check-in process, make life easier for your registration staffers, track proof of attendance more accurately, and provide a convenient way to get event information to attendees on the day of the event.
It is helpful to understand the best way to manage QR-Code Check In when using it in your event.
Displaying the QR-Code to Attendees
It is important to make the QR-Code easily accessible to your guests during check-in. Because there is only one QR-Code per event, there is no restriction on how many copies you can make available.
How many should I print?
We recommend printing out and displaying one QR-Code display for every 100 - 200 attendees, depending on the size of the window of time guests are likely to be arriving (if you have many guests, but they will be checking in over a longer time period, less codes may be necessary)
How should QR-Codes be displayed?
It is important that your attendees understand how to use the QR-Code at check-in. We recommend you download and use our QR-Code check-in templates for your event see below). These include a space for you to insert your event's QR-Code, plus clear visual instructions for your attendees.
Troubleshooting
To maximize your attendee's ability to utilize QR-Code check-in, we recommend that you station a suitable number of registration staff within the area of your displayed QR-Codes. These staffers should understand the QR-Code check-in process and be available to proactively assist any attendees who seem to be having a technical or other issue. Think of this like supermarket assistants at the self-checkout registers, or airline employees at the self check-in machines. One staffer for every 5 - 10 QR-Code displays should be sufficient.
